Trello is a web-based collaboration tool that is best known for its Kanban-style list-making capabilities (although it does have other views, such as a timeline).
Created in 2011 and then sold to Atlassian in 2017, Trello helps organise projects into boards, cards and lists with the intention that you can see the status of any task at any given time. Trello themselves describe it as “a whiteboard, filled with lists of sticky notes, with each note as a task for you and your team”.

Trello's ease of use means it has over 50 million users worldwide, and many people use it not just for work but also for personal use. From completely free to enterprise plans, it’s suitable for anyone and all teams who enjoy a more visual interface. On top of its core functionality, Trello apps and plug-ins (including Trello Power-Ups) allow third-party systems to integrate into Trello to enhance its capabilities.

What is monday.com?


monday.com is a cloud-based work management platform that helps teams run projects and workflows easily. With a highly customisable setup, monday.com says, " It can be used for anything—across teams, departments, leaders and organisations—for all types of projects and processes.” Launched in 2014, it aims to help businesses create a more transparent work culture in a simplified way.
Through its different dashboards, boards and many different setups, from Kanban and Gantt charts to timeline view, monday.com could be the place where all communication and files come together. Its integrations centre further encourages this, allowing you to connect to multiple platforms for a single source of truth.

Trello features and ease of use

Trello is designed to be a fun and enjoyable platform to use. From its adorable mascot (Taco the Husky) to its robot butler, you can't help but fall in love with its branding. But what else does Trello have to offer?

Trello carries its fun branding across the product with customisable elements. From custom backgrounds to colour-coded cards, it's easy to make boards engaging for you and your team. The boards are laid out Kanban-style, but there aren't many other ways to view your tasks. If you like visual cards, this isn't an issue, but it can be limiting for teams who work in different ways.
Whether you're looking for inspiration or you want to get set up in minutes, Trello offers a huge library of board templates to cover all use cases.
Broken down by workspaces, boards, lists and cards, an intuitive design means it's easy for all teams to use. It's all pretty much self-explanatory. If you're an agency or you frequently work with external clients, you can also extend your board out to them by adding them as a guest. Both parties can keep track of projects without the need for endless email threads.
Trello's no-code automation tool - also known as Butler - helps you set up recurring tasks and workflows with minimum effort. This automation comes in two forms:

  • Board and card buttons let you can complete frequent actions in just one click.

    For example, you could create an 'Assign Me' button to add yourself to a card or a 'Completed' button to move the card to a list called 'Done'.

  • Rules are a list of steps that tell Butler to do certain actions when a trigger is met. You set the trigger - this could be based on a date (e.g. the first day of the month), when something on your board changes (e.g. when you archive a card), or anything else. Then you choose what action happens!

    For example, the day after a due date on a card, you could automatically send a notification to assigned users to let them know that it needs to be addressed.

monday.com is similar to Trello in that it also has different boards for different teams, departments or projects.

monday.com offers a variety of customisation options to tailor your boards. You can resize, rename, and reorder items and groups, and you can also change the colours of your groups and labels. However, you can't set an image as your background like you can with Trello.

Trello Integrations

Trello has hundreds of integrations, and they're the key to helping take your Trello boards to the next level and enable your teams to do more. Trello vs monday.com - the verdict?

From the start, this was never intended to be a direct comparison to find which project management tool was better. Why? You can’t compare apples with pears, or in this case, monday.com with Trello.
Trello and monday.com are simply not the same - they're made for very different uses to fulfil very different needs.
