3 reasons to create procedures in Confluence

1. Keep everyone on the same page: Confluence acts as a single source of truth, making it easy for teams to find and access procedures without wasting time searching in different places.

2. Ensure consistency: Confluence’s templates make it easy to structure procedures in the same way, keeping processes standardised and reliable across the organisation.

3. Collaborate and adapt easily: In Confluence, teams can work together in real time to update procedures, helping everything stay accurate and up to date.

Option 1: Create a one-page procedure

⚠️ Note: This works best if your procedure is short, simple, and easy to follow. If your procedure is complex, multi-step, or branching, move on to option 2!

For this option, simply create a new page in your chosen Confluence space. Then, lay it out to follow your chosen procedure.

Here are some best practices to help you create a clean and structured one-page procedure:
  • Use headings: Create a logical hierarchy (e.g. H1 for the title, H2 for subheadings) to help users quickly find the right step.
  • Add images or screenshots: Add more context to your procedure with helpful imagery (such as showing users where to click on a page).
  • Create callouts with Panels: If you have important information or a warning that users need to read, the Panel macro helps you highlight text in Confluence.
  • Use lists or bullet points: Breaking steps into more manageable chunks makes it less likely that users will miss information.

However, if your procedure has more complex or branching steps, formatting it on one Confluence page could be confusing for users to follow. Read on to learn a more engaging format.

Option 2: Create a complex or branching procedure

Confluence doesn’t have a built-in feature that supports complex procedures, so you’ll need an app. Guided Pathways for Confluence makes it easy to create engaging step-by-step guides, procedures, and more.


Step 1: Create a Confluence page for every step in your procedure


  1. Go to your chosen Confluence space. You can use an existing one or create a new space just for your procedure pages.
  2. Click the blue + Create button and then click Page.
  3. Create the first page of your procedure, then click Publish.
  4. Create a page for every step of your procedure.

Here’s an example page we created for a customer complaints procedure:

Step 2: Use Guided Pathways to pull it all together


With the help of Guided Pathways for Confluence, you can quickly pull together pages into a branching, tailored guide with multiple outcomes.

First, you’ll need to install Guided Pathways (try it free for 30 days).
Please update your cookie preferences below to view this content.
Then follow these steps:
1. Click Apps > Guided Pathways to go to the guides homepage.
2. Click Create a Guide.
3. Add a title, category, and description. Click Create.
4. Click + in the left sidebar to create your first page.
  • Type a step name in Step Title.
  • Add a name in Button Text (this will show as a button on the previous page).
  • Click Link a Confluence Page to choose a page for this step.
5. Repeat this for all the pages in your procedure, adding steps under a page to create a new branching choice.
6. When you’re finished, click Publish in the top-right corner.

⚡️ Pro tip: You can check the structure of your procedure, at any time, by toggling Preview Branching. This visualises your steps as a branching tree diagram. You can even see how your structure changes as you move steps around.

Step 3: Share your procedure with users


It’s easy to share guides in Guided Pathways. You can either click the share icon from the Guided Pathways home (below - just click the Published guides tab first), or open up your procedure and copy the URL to share.
