What is an Event Plan?

An event plan is a structured document that outlines the objectives, logistics, and processes for organising an event, serving as a central reference to coordinate tasks, track progress, and ensure alignment across teams. They provide clarity on roles, timelines, and resources, reducing miscommunication and last-minute surprises.
With a well-designed event planning template, teams can standardise processes, collaborate efficiently, and maintain consistency across multiple events.

Why does your company need an Event Planning Page?

Collaboration and alignment

An event planning page centralises communication, allowing cross-functional teams to share updates, assign tasks, and track dependencies efficiently.

Preparation and organisation

By standardising processes, an event planning page guarantees critical details are never overlooked, reducing last-minute scrambles and ensuring every event upholds company standards.

Brand reinforcement

Consolidating event materials ensures every touchpoint aligns with brand guidelines, strengthening professional credibility and audience trust.

What elements should an Event Planning Page include?

Event overview

Include a clear overview at the top of the page to ensure readers know exactly which event they’re looking at. This also helps people who are looking for just the key information, like date and location, not get lost in the details.

The why

Every event should have a reason and a purpose. Show this off in Advanced Cards so everyone understands the value of the event.

Use tabs to navigate the numerous sections required for any event plan without having to scroll and search. Sections might include:
  • Speaking Opportunities
  • Agenda
  • Booth Planning
  • Booth Supplies
  • Travel and Accommodation

Marketing plan

Events require planning and preparation for more than just what happens on the day - think of your social media needs and campaign planning. Keep these plans centralised on the same page to ensure consistency and alignment.
